Guidelines for Recipients of
Teaching Academy
Awards and Grants
Funding received through Summer Institute awards, Teaching and Learning grants, and Travel grants is not transferred to individual departments. Expenditures are administered, authorized and monitored by the Office of the Secretary of the Faculty.
Funding Parameters
All expenditures will be subject to the following parameters:
1) University purchasing policies and procedures must be followed;
2) Student hourly workers who will be payrolled must fill out an I-9 (employment eligibility verification) form prior to beginning work on your project; students will use Kronos to record their hours worked, and you will use Kronos to approve all hours to be paid;
3) Incidental costs such as fringe benefits, taxes and shipping will be charged to your award or grant;
4) Total expenditures cannot exceed the amount of your award or grant.
Spending Procedures
The process for spending from your award or grant is really quite simple. Your departmental business office prepares requisitions, travel expense reports, payment to individual reports and transfer forms according to their usual procedures. This includes obtaining necessary department- level signature authorization.
Then, instead of forwarding such forms to your dean’s office for approval at that level, the forms should be sent to Mr. Joe Farrenkopf in the Office of the Secretary of the Faculty, 133 Bascom Hall. This office will provide authorization at the divisional level and will then forward the forms to Accounting Services for payment processing.
If you will use a departmental procurement card, please contact Joe Farrenkopf in advance of making any purchases.
Payroll Issues
If you plan to use some or all of your award or grant to payroll one or more student hourly workers, please contact Joe Farrenkopf before work begins on the project.
